Position for Administrative Manager:
The Administrative Manager (AM) manages the day-to-day operations of the school’s administrative functions including the following:

  • Front office point person for parents, teachers, and external vendors
  • Administrative tasks including answering telephones, routing messages to appropriate staff, operating general office machinery, filing, handling and distributing mail or packages
  • Newsletter composition and email correspondence regarding school operations
  • Coordination of student services and activities, including development of specialty camp and summer camp schedules, field trips, and other enrichment and ancillary programs
  • Coordination of staff services including lunch ordering or childcare for teacher in-service days
  • Clerical duties including generation of expense documents and preparation of reports
  • Procurement of supplies and curriculum materials for teachers
  • Organization of professional development trainings and travel for staff
  • Maintenance and tracking of student records
  • Compliance of state licensing
  • Onboarding/training of new employees, substitutes, and parent volunteers
  • Proofreading and editing of report cards
  • Troubleshooting of technical issues (e.g. what to do if internet goes down, how to check Quickbooks transactions, how to change toner in copier)
  • Attendance and note-taking of in-service trainings, staff meetings, class councils, and parent meetings as assigned
  • Attendance and help with cleanup at parent events

Qualifications:

  • Education and Experience: Bachelor’s Degree with preferably two years of experience in an administrative capacity
  • Interpersonal Skills: Works well with others from diverse backgrounds. Focuses on solving conflict, maintaining confidentiality, listening to others, keeping emotions under control, remaining open to others’ ideas and contributing to building a positive team spirit. Demonstrates the ability to remain calm and professional in an environment with frequent interruptions. Interacts with staff and students appropriately.
  • Language Skills: Ability to communicate English fluently both verbally and in writing, including proficiency in spelling and grammar. Ability to respond to common inquiries or complaints from students, parents, staff, regulatory agencies, vendors and members of the community. Ability to read and interpret documents including governmental regulations, safety rules and operating and maintenance instructions/ instruction manuals. Ability to prepare routine reports and correspondence with high degrees of accuracy and professionalism. French language proficiency a plus.
  • Mathematical Skills: Ability to calculate a profit margin and negotiate prices for contracts.
  • Computer Skills: Ability to effectively use computers to perform database lookups, create newletters in MailChimp, and to perform general web-based inquiries.
  • Other Skills and Abilities: Ability to exercise good judgment and work effectively in a dynamic environment.

Special Requirements:
The person selected for this position must be able to provide: proof of college education, employment references, work authorization (Oregon drivers license, US passport, or green card). Selected applicants will complete a fingerprint-based criminal background check.
